Wedding planners in Belgium: role, costs, full planning or on-the-day coordination
Article summary
On-the-day coordination, partial or full planning: what a wedding planner does in Belgium, how much they cost in 2026 and when they are truly worth it.
Summarise with AI
A wedding planner in Belgium is paid according to three packages: on-the-day coordination (usually between 800 and 2 000 EUR), partial planning (roughly 1 500 to 4 000 EUR), and full planning, often billed between 3 500 and 9 000 EUR or as a percentage of the total budget. These are ballparks observed among Belgian suppliers in 2026, not an official price scale: the profession is unregulated and each planner sets their own prices.
The real question is therefore not "how much does it cost" but "which package fits what you are missing". Time? An address book? Someone to keep time on the day while you enjoy yourselves? These are three different needs, and three different prices.
This guide explains what each package includes, when a planner is cost-effective, and how to screen candidates from the very first meeting.
The number of weddings is on the rise again in Belgium: Statbel recorded 48 589 in 2024, the highest figure since the turn of the century. More weddings also mean suppliers' diaries fill up faster, planners included.
The three packages of a wedding planner
Almost all Belgian planners offer three levels of service, under varying names.
Full planning starts 12 to 18 months before the date. The planner helps set the budget, shortlists the wedding venue, assembles the team of suppliers, negotiates, tracks contracts, creates the schedule, and manages the day. You approve, they execute.
Partial planning comes in when part of the work is already done (often the wedding venue and the caterer). The planner completes the team, takes over the follow-up, and prepares the coordination.
On-the-day coordination is the most popular package among the couples we meet. Its name is misleading: a good coordinator starts 6 to 10 weeks before, collects your contracts, calls each supplier, builds the schedule, and visits the wedding venue. On the day, they are there from set-up until dessert.
How much a wedding planner costs in Belgium
Expect to pay from 800 to 2 000 EUR for on-the-day coordination, from 1 500 to 4 000 EUR for partial planning, and from 3 500 to 9 000 EUR for full planning. These ranges reflect our reading of the Belgian market in 2026 and discussions with planners on WEWED, rather than a official statistic.
Some agencies charge for full planning on a percentage basis, typically around 10 to 15% of the total wedding budget. On a 30 000 EUR wedding, it works out the same. On a 60 000 EUR wedding, a flat fee becomes significantly more advantageous. Always ask for both calculations.
Observed price ranges in Belgium, 2026
What drives the price: the guest count (over 150, a second person is often required), distance, and the number of days covered. To put this expense into perspective, our article on the wedding budget in Belgium by region provides the other ballparks.
What the price includes, and what it does not
ALEGRIA WEDDINGS & EVENTS
A planner's fee covers their time and expertise, never the services of others. The caterer, wedding venue, photographer, and florist remain your responsibility, with contracts in your name in the vast majority of cases.
Usually included: preparation meetings, supplier follow-up, the wedding day schedule, presence on the day itself, and managing unexpected issues (the late DJ, rain at 3 pm).
What is often optional: decoration and design, furniture hire, the humanist ceremony celebrant, a second coordinator, and hours after midnight. Several Belgian planners are also stylists, such as Priscillia from Alegria Weddings & Events in Bastogne, who supports couples in Belgium, Luxembourg, and as far as Spain. This is convenient, but it alters the final total: ask for an itemised quote.
A final sore point: VAT. Some planners display prices excluding VAT, others including VAT, and a 21% difference on 5 000 EUR is no small detail. Ask the question before comparing.
When it is worth it, and when it is not
A wedding planner is cost-effective when your available time is scarcer than your budget. It is the simplest rule we have found, and it holds true in most cases.
It is clearly worth it in four situations: you live far from the wedding venue (expats, getting married in the Ardennes while living in Brussels), you have more than 120 guests, you both have demanding jobs and no family available to manage the logistics, or the venue is "empty" (barn, marquee, private estate) and everything has to be set up from scratch.
It makes far less sense for a wedding of 40 guests in a restaurant that handles the service. Frankly, in that situation, on-the-day coordination is plenty, or even an organised witness with a solid schedule.
Planner or venue coordinator
A venue coordinator protects the venue's interests; a wedding planner protects yours. That is the whole difference, and it matters the day an issue arises.
Many Belgian châteaux and estates include an "event manager" or a coordinating head waiter. They know the room and the kitchen. But they manage neither your photographer, nor guest transport, nor the humanist ceremony in the garden.
If you are still undecided on the venue, our selection of wedding venues in Belgium indicates which ones offer an "all-inclusive" package. With this type of venue, on-the-day coordination by an independent planner is often redundant. With a dry-hire venue, it becomes practically essential.
Questions to ask at the first meeting
IMPACT EVENT
The first meeting is almost always free of charge. Use it to ask precise questions.
Seven questions that quickly narrow it down
- How many weddings per weekend? The right answer is one, or two at the very most with a team.
- Who will be there on the day? You, or an assistant you have never met?
- Do you take commissions from suppliers? Not forbidden, but you need to know.
- Until what time do you stay? And how much does an extra hour cost?
- What happens if you are ill? A named replacement, or nothing planned?
- Can you show me a schedule from a past wedding? Anonymised, of course.
- Does your price include VAT?
Philippe, founder of Impact Event in Uccle, comes from luxury events: this kind of background is clearly reflected in the precision of a schedule. Conversely, a planner who remains vague on these seven points has already given you their answer.
The contract: clauses to read twice
A wedding planner contract remains a contract between a business and consumers, and is therefore subject to the Belgian Code of Economic Law. Article VI.83 sets out a list of clauses that are strictly prohibited, including those allowing the supplier to unilaterally change the price or characteristics of the service. The FPS Economy details these rules on its page dedicated to unfair terms.
In practical terms, check four things: the deposit amount and payment schedule (a 30% deposit upon signing is standard), the cancellation terms for both sides (if the planner cancels, what do they refund?), the precise list of included services, and the hourly rate beyond what is planned.
A cancellation fee on your side with no equivalent in return? Something to discuss before signing.
Where to find a wedding planner in Belgium
Seven wedding planners are listed and verified in the WEWED directory as of 25 October 2026, from Hainaut to the province of Luxembourg (taken directly from our database). You can browse wedding planners in Belgium by region, without creating an account.
CÉ'MERVEILLER
Profiles vary considerably. Some planners in Liège such as Céline from Cé'Merveiller, in Flémalle, craft a complete world around a theme (festival, travel, the Roaring Twenties), whereas others focus purely on logistics. Choose based on what you need support with, not simply the most spectacular portfolio.
To compare channels (word of mouth, wedding fairs, directories, social media), our article on methods for finding wedding suppliers helps you sort through them. And a scheduling tip: book the planner early, right after the wedding venue. Our month-by-month wedding planning timeline shows where to fit this in.

Frequently asked questions about wedding planners in Belgium
How much does a wedding planner cost in Belgium?
Based on rates observed in 2026, expect 800 to 2 000 EUR for on-the-day coordination, 1 500 to 4 000 EUR for partial planning and 3 500 to 9 000 EUR for full planning. Some agencies charge 10 to 15 % of the total budget.
What is the difference between a wedding planner and an on-the-day coordinator?
A wedding planner organises everything beforehand: budget, selecting and managing suppliers. On-the-day coordination takes over a wedding that is already planned a few weeks before the date and runs the day itself.
When should you book your wedding planner?
For full planning, 12 to 18 months before, right after setting the date and ideally before choosing the wedding venue. For on-the-day coordination, 6 to 9 months before is sufficient, earlier for a Saturday in June or September.
Is a wedding planner useful for a small wedding?
Rarely for a full planning package. For a wedding with fewer than 50 guests in a wedding venue that manages the service, on-the-day coordination or a solid schedule shared with your witnesses is usually enough.
Does the wedding planner take commissions?
Some do, others do not. It is not forbidden, but you need to know about it: ask at the first meeting and request that it be written into the contract.
The castle has a coordinator, do I still need a planner?
The venue coordinator manages the room and the service, not your other suppliers. If the wedding venue offers an all-inclusive package, a planner is often redundant. If you are adding a humanist ceremony, transport and entertainment, they become useful once again.
