Wedding seating plan: template and 5-step method
Article summary
A wedding seating plan template ready to copy: round tables of 8 and 10, top table, table calculations, and seating rules to follow.
Summarise with AI
A wedding seating plan template fits into three columns: the table number, its shape and capacity, and then the list of names. Allow for a round table of 8 or 10 per group of guests, a separate top table, and fill it in this order: the couple, close family, groups of friends, and solo guests last.
For tricky situations (exes, divorced parents, singles), we have already detailed the seating plan method: here, we focus on the template and the tool.
A benchmark before starting: according to the WEWED wedding pricing barometer (October 2026 edition, 614 couples), 40% of couples invite between 50 and 99 people, and one in two (51%) stays under the 100 mark. The template below is tailored for this format.
The seating plan template to copy
The most useful template is a simple spreadsheet, one row per table, which you fill in with a pencil before moving to a digital tool. Spreadsheet or A3 sheet, it makes no difference: caterers and venues understand it straight away.
| Table | Shape and seats | Group | Guests (one name per seat) | Diets and notes |
|---|---|---|---|---|
| Top table | Rectangular, 2 to 8 | Couple (and witnesses) | 1. ... 2. ... 3. ... 4. ... | Facing the room |
| 1 | Round, 10 | Close family, Partner A | 1. ... to 10. ... | Parents, siblings |
| 2 | Round, 10 | Close family, Partner B | 1. ... to 10. ... | Parents, siblings |
| 3 | Round, 8 | Grandparents, uncles, aunts | 1. ... to 8. ... | Near the exit, away from speakers |
| 4 | Round, 8 | Childhood friends | 1. ... to 8. ... | 1 vegetarian |
| 5 | Round, 8 | University friends | 1. ... to 8. ... | |
| 6 | Round, 8 | Colleagues | 1. ... to 8. ... | 1 nut allergy |
| 7 | Round, 8 | Families with children | 1. ... to 8. ... | 2 high chairs |
Keep the final column. That is the one the caterer will ask for: in Belgium, the Royal Decree of 17 July 2014 requires them to provide information on allergens in non-prepacked food served, and they will find it much easier if they know at which table each guest concerned is seated.
How many tables for your guests
Divide the number of seated adult guests (excluding the top table) by 8 or by 10, then round up. For 80 guests, that gives 10 tables of 8 or 8 tables of 10. Next, check with the reception venue how many tables it can realistically fit, because that is often where the calculation falls down.
Calculation benchmarks
Tables of 8 or 10? In my view, a table of 8 is more comfortable for conversation, whilst a table of 10 saves floor space and table centrepieces. But there is no hard rule: it all comes down to the venue's stock of tables. At Château d'Avin, in Hesbaye, the function rooms can seat up to 140 people, for example: at that capacity, every extra or fewer table counts in the room. If you are still comparing venues, our selection of wedding venues in Belgium organises addresses by style and region.

The top table: three formats
The top table can seat the couple alone, the couple with their witnesses, or the couple with their parents. Decide before you fill a single round table.
- Table for two (sweetheart table): you can see the whole room, and no one feels offended not to be on it. Each set of parents can then host their own round table.
- The couple and their witnesses: the most common format among the couples we see. Seat their partners at an adjacent table.
- The couple and their parents: very classic, but trickier with separated parents.
Filling in the template in 5 steps
Fill in the template from the closest circles outwards, and never table by table in numerical order. Otherwise, you will end up with three leftover guests to fit in at the last minute.
The order to follow
- Finalised list: work from RSVPs, not invitations sent.
- Groups: group by household, then by circle (family A, family B, friends, colleagues).
- Fixed tables: top table, close family, children. These are the ones that do not move.
- Circles of friends: one table per group, even if it means merging two small groups.
- Individual guests: seat them next to at least one person they know.
Note the remaining seats at the end of each line. Once the total reaches zero, you are done. Full stop.
Seating rules, the short version
Four rules are enough to avoid most friction at the table.
- Never separate a couple or a household, even to balance numbers.
- Elderly guests away from speakers and close to exits.
- Families with young children near a door, for easy trips back and forth.
- A guest who barely knows anyone should never be at the end of a table.
And honestly, if two guests really must not cross paths, place them at opposite ends of the room, not just at different tables.
From the paper template to the online tool
The paper template helps you think, while the online tool keeps the plan up to date as RSVPs change. On WEWED, the seating plan starts from your guest list: you set out your tables (round or rectangular), drag and drop each guest onto them, and the tool flags an overcrowded table or a divided household. It will not place anyone for you, you remain in complete control.
Your seating plan, synchronised with your guests
Manage your seating plan online with your synchronised guest list: simply drag and drop, and the tool counts the seats and alerts you if there is an issue.

The displayed plan on the big day
The plan displayed at the entrance to the room must be readable in ten seconds: a name, a table number, nothing else. List guests alphabetically rather than by table, as they will find their names much faster.
For stationery, a Liège-based stationer like Audrey Studio creates bespoke prints tailored to the wedding invitation. As for styling, a venue stylist like Tyna&co, working across Liège, Namur and Brussels, can integrate the board into the entrance decor.
